4.7.6.1 Publishing a Workspace

As its owner you may publish a Folder, a Meeting or a Discussion, i. e. allow anonymous access across the web, by inviting the user anonymous as a member.

• Click [Public Access] on the [Action] bar of the object's entry

or

• click the    icon to the left of the object's type icon

to display the object's Info page and

• click    on the top button bar of the object's Info page

to bring up the 'Prepare object name for public access' form.

Use this form to grant anonymous the right to add objects of specific types to the Workspace:

• Select (checkmark) the object types that anonymous may add to the Workspace.

If no object type is selected, anonymous may only read the objects in the Workspace.

By default, anonymous' right to add objects is not unconditional: similar to postings to a moderated newsgroup, objects added by anonymous have to be approved for publication by the owner of the Workspace, before they become visible and accessible to the other members of the Workspace.

• De-select (remove the checkmark) Public access will be moderated

to allow anonymous to add objects to the Workspace that are immediately fully visible.

• Click

  to invite anonymous as a Workspace member and to allow public access to the Workspace and the object it contains.

You may later revoke the public access by removing anonymous from the members of the Workspace. If anonymous has been allowed to add objects, BSCW has automatically re-organized the action clusters that are the basis of the access rights for this Workspace. These modifications are not undone automatically if you just    anonymous. Instead you should first

• bring up the 'Prepare object name for public access' form again (see above) and
• de-select all object types that anonymous is allowed to add and
• Click

  to update the access rights of anonymous. BSCW will now set the action clusters back to their default values.

• Click the    icon to the right of the Workspace name

to display its Members page.

• Select (checkmark) the entry of user anonymous.
• Click    on the button bar for selected objects

to remove anonymous from the members of the Workspace. This immediately stops public access to the Workspace.

Note:

If you are the owner of a moderated public access Workspace, you are responsible for approving new objects added by anonymous for publication. The Daily Workspace Activity Report (see section4.2.5) may be useful here by alerting you of new objects. When you have decided to publish a new object,

• click [Publish] on the [Action] bar of the new object's entry in the Workspace page

or

• click the    icon to the left of the object's type icon

to display the object's Info page and

• click    on the top button bar of the object's Info page

to make it visible and accessible to all members of the Workspace.
